Privacy Policy

This Privacy Policy explains how ScalerWorks (“we”, “us”) handles information when you use the SonEtch mobile app, the jobs and credits dashboard at https://sonetch.scalerworks.com, and related transcription services (together, the “Service”).
1. Who we are
SonEtch is published by ScalerWorks. For privacy questions, contact support@scalerworks.com.
This policy is intended to be read under the laws of England and Wales, including UK GDPR where it applies.
2. Information we collect
Account and identity
You sign in with Google. We receive your Google account identifier, name, and email address so we can create and recognise your SonEtch account. We do not receive your Google password.
Audio, transcripts, and related content
If you record in the app, audio is stored on your device until you upload it. When you request transcription, we process the audio file and related metadata (for example duration and a job identifier) to generate a transcript and optional bookmarks. You may also use transcript excerpts for AI question-and-answer or bookmark generation.
Jobs, credits, and payments
We keep records of transcription jobs, credit balances, and purchases. Credit purchases on the web dashboard are processed by Stripe. We receive payment status and related order information; card details are handled by Stripe, not stored by us as full card numbers.
Device and notifications
If you allow notifications, we store a Firebase Cloud Messaging device token so we can tell you when a transcription or bookmarks are ready. The app also stores recordings, bookmarks, preferences, and terms acceptance locally on the device (including in a local database).
Google Drive backup (optional)
If you use backup, the app can upload and restore a library backup to Google Drive using Drive’s application-data access limited to files the app creates. We do not use this to browse your other Drive files.
Support
If you email us, we receive the content of that message and your email address so we can reply.
3. How we use information
- To operate your account and authenticate you with Google and Firebase.
- To transcribe audio, generate bookmarks, and run optional transcript Q&A.
- To show job status, credit balances, and purchase history.
- To send optional completion notifications.
- To provide optional Google Drive backup and restore.
- To process account deletion requests and respond to support.
- To maintain security, prevent abuse, and meet legal obligations.
We do not sell your personal information. We do not use your recordings or transcripts for advertising.
4. Legal bases
Where UK GDPR applies, we typically rely on:
- Contract — to provide the Service you asked for (account, jobs, transcription, credits).
- Legitimate interests — to keep the Service secure and to improve reliability, in ways that do not override your rights.
- Consent — where required for optional features such as notifications or Drive backup, which you can turn off in the app or on the device.
- Legal obligation — where we must keep records or respond to a lawful request.
5. Who we share information with
We use processors to run the Service. They may process data on our instructions:
- Google — Sign-In, Firebase Authentication, Cloud Storage, Firestore, Cloud Messaging, and optional Drive backup.
- Stripe — credit purchases on the dashboard.
- Our hosting and transcription backend — to run Whisper transcription and related features for your account.
We may also disclose information if required by law, to protect the Service, or as part of a reorganisation of ScalerWorks, with appropriate safeguards.
6. Retention
Local recordings remain on your device until you delete them. Cloud audio and job data are stored to process and deliver transcriptions and to show history in the dashboard. We may delete files after processing or after a reasonable retention period. We do not guarantee permanent storage. You should keep your own copies of important recordings and transcripts.
If you delete your account, we delete or anonymise personal data we hold for that account, except where we must keep a limited record (for example a deletion request or a legal obligation). Unused credits are forfeited as described in the Terms of Service.
7. International transfers
Our processors (including Google and Stripe) may process data outside the United Kingdom. Where required, they use appropriate transfer mechanisms such as standard contractual clauses.
8. Security
We use signed-in accounts, encrypted transport, and device secure storage for tokens. No method of transmission or storage is completely secure. You are responsible for the security of the Google account you use to sign in.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object or request portability. You may also complain to the UK Information Commissioner’s Office (ICO) or your local regulator.

10. How to delete your account
You can request deletion of your SonEtch account on the web (this URL is the one Google Play expects for account deletion):

You will need access to the email address on the account. Deletion removes access to the Service and associated cloud data as described above. Remove the app from your device if you also want local recordings deleted from that device.
11. Children
The Service is not directed at children under 16, and we do not knowingly collect personal data from children.
12. Changes
We may update this policy. The “Last updated” date at the top will change when we do. Continued use of the Service after an update means you accept the revised policy.
